UTM Tracking for Small Businesses: Know Which Campaigns Bring Enquiries

You share a consultation page through LinkedIn, a newsletter, and a partner's message. A week later, website visits have increased. Which activity deserves another round of effort?

Before comparing the results, give each campaign link a consistent label. UTM tracking provides a practical way to organise those labels. For a small business in Kochi or elsewhere in Kerala, the useful outcome is a clearer record of where campaign visits came from and how those visits relate to enquiries.

Understand what a tagged link can tell you

UTM parameters are labels added to a destination URL. Google Analytics supports manual campaign tagging to collect traffic-source information. The labels describe where a link was shared, the marketing channel, and the campaign. Google's traffic-source documentation.

A label records how you distributed a link. It does not prove that the campaign caused a sale. People may return later, use another device, or contact your team through a different route. Treat campaign reporting as evidence to interpret alongside the enquiry record.

Agree a small naming system before creating links

Start with a shared register that the whole team can understand. Use one naming convention consistently, such as lowercase words separated by underscores.

For a fictional October consultation campaign, the register might contain:

Parameter Example Purpose
utm_source linkedin Where you shared the link
utm_medium organic_social How you distributed it
utm_campaign october_consultation The activity being compared
utm_id consult_oct_2026 Your stable campaign identifier
utm_source_platform linkedin The platform used
utm_content checklist_post The specific link or creative version

These are illustrative labels, not results from a client campaign. Google recommends supplying all relevant UTM fields, especially source, medium, campaign, campaign ID, and source platform. Its documentation also explains that manual and automatic tagging interact; review an existing advertising integration before changing its tagging approach. Manual and automatic tagging guidance.

Keep the campaign name stable while changing the source or content label to distinguish placements. Record the destination, full tagged URL, owner, and date shared. Otherwise, two colleagues can describe the same activity differently and make later comparisons harder.

Keep labels about campaigns, not individual people

Use labels such as newsletter or partner_email. Do not include a prospect's name, email address, phone number, or private requirements in the URL.

Google's Analytics guidance prohibits sending personally identifiable information and specifically warns against putting it in campaign parameters. URLs can also travel with copied links, so neutral campaign names are a better working habit. Google's guidance on avoiding personal information.

Keep personal contact details in the appropriate enquiry system with suitable access controls. Campaign labels should describe the marketing activity.

Test one complete route before sharing widely

Build one tagged link and test it on a phone. Check the destination, page loading, and contact option. If the link passes through a shortener or redirect, check that the expected campaign parameters reach the landing page.

Then verify that your analytics implementation records the visit and makes the expected campaign information available. Having a tagged URL is not evidence that tracking is working. Your analytics setup, consent settings, and the visitor's browser can affect what is collected.

Test the next step separately. Does a successful form submission produce an enquiry record? If the route uses WhatsApp, does the team recognise and record the conversation? A button click and a received message are different observations.

Use the existing guide to tracking WhatsApp enquiries from first contact to sale for that part of the process.

Connect campaign reporting with the enquiry record

Choose a manageable set of fields: enquiry date, recorded source, service requested, owner, next action, and outcome. When available, retain the campaign label separately from what the prospect tells you about how they found the business.

For example, a visitor might arrive through a newsletter but say that a colleague originally recommended you. Both details can be useful. Do not force them into one supposedly perfect source.

If you use Bigin, agree how campaign information will enter the record. A website integration must actually capture and map the fields; adding UTMs does not automatically populate the CRM. Start with a tested process or a manual register before assuming the connection exists.

The free lead follow-up tracker can help organise the enquiry side while you establish the workflow.

Review the decision, not just the traffic total

At the end of the campaign, compare visits with recorded enquiries, suitable opportunities, and the work needed to handle them. Investigate missing or inconsistent labels before drawing strong conclusions.

A placement that produces fewer visits may still bring more relevant conversations. Equally, a promising traffic source may need a clearer landing page or a better response process. Choose the next action from the combined evidence rather than treating one report as the whole customer journey.
