How to Track WhatsApp Enquiries from First Contact to Sale

A WhatsApp button makes it easy for a visitor to start a conversation. Measuring that button is only the beginning. To understand whether it supports your business, you need to connect the conversation with qualification, follow-up, and the eventual outcome.

Separate clicks from conversations

A visitor can click a WhatsApp link without sending a message. Someone can also contact you directly without using your website. Treat button clicks as engagement signals and received enquiries as a separate measure. Do not label every click a new customer.

Use a recognisable opening message

A prefilled message can help your team identify the website as the starting point: “Hi, I found you on abhilash.blog and would like to discuss a consultation.” The visitor can edit or remove it, so this is a helpful clue rather than a complete attribution system. Ask how the person found you when the source is unclear.

Create a simple enquiry record

Record the date, source, service interest, owner, next action, and outcome. Keep only the information your team needs to handle the enquiry. Avoid copying whole conversations into reporting sheets or analytics tools when a short business summary is sufficient. Keep personal message content out of website analytics events.

Agree what a qualified enquiry means

Define qualification for your business before counting qualified leads. A service business might need a relevant requirement, an appropriate scope, and a realistic decision timeframe. A friendly message or request for general information may be useful, but it is not automatically a sales opportunity.

Give follow-up a clear owner

Each active enquiry should have someone responsible for the next step. Record an action such as “confirm the review scope on Tuesday” instead of “follow up.” A CRM can help organise this process, but the team still needs agreed habits and responsibilities.

Review the journey as separate steps

Compare website contact clicks, received enquiries, qualified opportunities, booked sessions, and completed sales. If clicks rise while conversations stay flat, inspect the contact route. If suitable enquiries arrive but proposals stall, review follow-up and the offer. These are different problems.

Start with a manageable weekly report

Use a short table of enquiry counts and outcomes, supported by notes about missing sources or duplicate records. You do not need perfect attribution to begin improving your process. You do need to be honest about what the numbers measure. Confirm any analytics implementation with test clicks before relying on its reports.
